Studio 1410 Privacy Notice

I. What data do we collect and for what purpose?

  1. If you contact us (Studio 1410) via our website, e-mail or through other means in order to learn more about our services in general, to ask a general question or to sign up to our newsletter, we may collect the following data of you if you communicate it to us: name, business affiliation, function or title, e-mail address, postal address, telephone number, salutation (Mr/Ms/other) and language. The data collection is necessary for us to reply to your request and communicate with you. The legal basis is your consent.
  2. If you express interest in one of our services, solicit an estimate for one of our services, or publish a call for applications/tender to which we reply, we may collect the data listed in paragraph 1 as well as data necessary for billing and tax purposes. This may include your nationality, tax identification number and bank details. The legal basis is the performance of a contract. If you conclude a contract with us, after completion of the contract, we might also be required by law to retain certain data under tax regulations; the legal basis is then a legal requirement.

 

II. Where do we process and store your data?

For our contact and client database, project management and accounting, we use cloud-based software applications. Your data is processed through and stored in these applications. The cloud servers are based in the European Union.

 

III. How long do we store your data?

  1. If you have contacted us but do not become our client, we will delete your data no later than one year after you last communicated with us, unless you have given your consent for us to store your data longer (for instance if you signed up for our newsletter).
  2. If you become our client, we will store your data until the completion of the contract and your final payment, and thereafter for as long as required by law, notably tax regulations. If you give your consent to remain in our client database after this period, we will store your data longer based on your consent.

 

IV. Who do we share your data with?

  1. We do not share your data with third parties without your consent, except in the cases described in this section.
  2. We share your data included in our invoices and the data generated by your payments to us with our accounting service provider. They may process and store your data only for accounting and tax filing purposes on our behalf and only for as long as necessary to perform these tasks. They may not transfer it to other third parties other than the tax authorities as required by law.
  3. We share the data included in our invoices with the Belgian tax authorities as required by Belgian tax regulations.

 

V. Your rights

Your rights under EU data protection law include:

  1. The right to access: You have the right to request us for copies of your personal data.
  2. The right to rectification: You have the right to request that we correct any information you believe is inaccurate. You also have the right to request us to complete the information you believe is incomplete.
  3. The right to erasure: You have the right to request that we erase your personal data, under certain conditions.
  4. The right to restrict processing: You have the right to request that we restrict the processing of your personal data, under certain conditions.
  5. The right to object to processing: You have the right to object to our processing of your personal data, under certain conditions.
  6. The right to data portability: You have the right to request us to transfer the data that we have collected to another organisation, or directly to you, under certain conditions.
